Accommodation Terms and Conditions
Scope of Application
[Article 1] Accommodation contracts and related contracts that our hotel concludes with guests to stay shall be subject to the stipulations of these terms and conditions, and any matters not stipulated in these terms and conditions shall be governed by laws and regulations (meaning laws and regulations or those based on laws and regulations; the same applies below) or generally established customs.
2. In the event that the Hotel enters into a special agreement with respect to a Guest, provided such special agreement does not violate laws, regulations, or customary practices, notwithstanding the provisions of the preceding paragraph, such special agreement shall take precedence.
Application for Accommodation Contract
[Article 2] Anyone who wishes to apply for an accommodation contract with our hotel must provide our hotel with the following particulars:
(1) Name of guest
(2) Date of stay and expected time of arrival
(3) Accommodation fees (in principle, the basic accommodation fees set forth in Schedule 1)
(4) Any other matters deemed necessary by the Embassy.
2. If a Guest requests, during his/her stay, to extend his/her stay beyond the date specified in subparagraph 2 of the preceding paragraph, our hotel will treat this as an application for a new accommodation contract at the time such request is made.
Establishment of Accommodation Contract, etc.
[Article 3] The accommodation contract shall be deemed to have been concluded when the hotel accepts the application as described in the previous article. However, this shall not apply if the hotel proves that it did not accept the application.
2. When an accommodation contract has been concluded in accordance with the provisions of the preceding paragraph, an application fee set by the hotel, up to the basic accommodation fee for the period of stay (if it exceeds 3 days, for a period of 3 days), shall be paid by the date specified by the hotel.
3. The application fee shall first be applied to the accommodation fee finally payable by the Guest, and in the event of the occurrence of a situation to which the provisions of Articles 6 and 18 apply, it shall be applied in the order of penalty charges and compensation, and the remainder, if any, shall be refunded at the time of payment of the fees as provided for in Article 12.
4. If the application fee stipulated in paragraph 2 is not paid by the date specified by the hotel in accordance with the provisions of the same paragraph, the accommodation contract shall become void. However, this shall only apply if the hotel so notifies the guest when specifying the due date for payment of the application fee.
Special Agreements that Do Not Require Payment of a Deposit
[Article 4] Notwithstanding the provisions of the preceding Article 2, paragraph 2, our hotel may enter into a special agreement pursuant to which the application fee stipulated in the same paragraph is not required after the contract has been concluded.
2. If, when accepting an application for an Accommodation Contract, the Hotel has not requested the payment of the application fee as stipulated in Paragraph 2 of the preceding Article and has not specified a due date for the payment of the application fee, it shall be treated as if the Hotel had accepted a special contract as stipulated in the preceding Paragraph.
Request for Cooperation in Infection Prevention Measures at Facilities
[Article 4-2] Our hotel may request the cooperation of those who wish to stay in accordance with the provisions of Article 4-2, Paragraph 1 of the Inns and Hotels Act (Act No. 138 of 1948).
Refusal to Enter into an Accommodation Contract
[Article 5] Our hotel may not accept the conclusion of an accommodation contract in the following cases. However, this paragraph does not mean that our hotel may refuse accommodation in cases other than those listed in Article 5 of the Inns and Hotels Act.
(1) When an application for accommodation does not conform with these terms and conditions.
(2) When the Hotel is fully booked and no guest rooms are available.
(3) When the person seeking accommodation is deemed liable to conduct himself/herself in a manner that will violate the provisions of the law, the public order or good morals in regard to his/her accommodation.
(4) When the person seeking accommodation is deemed to be under any of the following items (a) to (c):
(a) An organized crime group as defined in Article 2, Paragraph 2 of the Law Concerning Prevention of Unjust Activities by Organized Crime Group Members (Law No. 77 of 1991) (hereinafter referred to as an 'organized crime group'), an organized crime member as defined in Article 2, Paragraph 6 of the same Law (hereinafter referred to as an 'organized crime member'), an associate member of an organized crime group, or a person related to an organized crime group, or other anti-social forces.
(b) When a corporation or other organization whose business activities are controlled by an organized crime group or an organized crime member
(c) A corporation in which any of its directors is a member of an organized crime group.
(5) When a person seeking accommodation behaves in a manner that causes significant nuisance to other guests.
(6) When the person seeking accommodation is a patient, etc. of a specific infectious disease as defined in Article 4-2, Paragraph 1, Item 2 of the Inns and Hotels Act (hereinafter referred to as a 'Patient, etc. of a specific infectious disease').
(7) When violent demands are made in relation to accommodation, or when an unreasonable burden is requested (except when the person seeking accommodation requests the removal of social barriers pursuant to the provisions of Article 7, Paragraph 2 or Article 8, Paragraph 2 of the Act on Promotion of Elimination of Disability Discrimination (Act No. 65 of 2013; hereinafter referred to as the 'Act on the Elimination of Disability Discrimination')).
(8) When a person seeking accommodation has repeatedly made requests to the hotel that are deemed to be excessively burdensome and likely to significantly impede the provision of accommodation-related services to other guests, as specified in Article 5-6 of the Enforcement Regulations of the Inns and Hotels Act.
(9) When the Hotel is unable to provide accommodation due to natural disasters, malfunction of facilities, or other unavoidable causes.
(10) When the case falls under the provisions of Article 11 of the Hiroshima Prefectural Hotel and Inn Business Act Enforcement Ordinance.
Guest's Right to Cancel Accommodation Contract
[Article 6] A guest may cancel the accommodation contract by notifying our hotel.
2. In the event that a guest cancels the accommodation contract in whole or in part due to reasons attributable to the guest (except in the event that the hotel has requested payment of the application fee by specifying a due date in accordance with the provisions of Article 3, Paragraph 2 and the guest cancels the accommodation contract prior to payment), the hotel shall charge a penalty as listed in Attached Table 2. However, in the event that the hotel has accepted a special agreement as set forth in Article 4, Paragraph 1, this shall apply only when the hotel has notified the guest of the obligation to pay the penalty when the guest cancels the accommodation contract in accepting the special agreement.
3. If a guest does not arrive by 8 p.m. on the day of accommodation without contacting the hotel (or by two hours after the expected arrival time if the guest has stated the expected arrival time in advance), the hotel may regard the accommodation contract as having been cancelled by the guest and proceed with the matter accordingly.
Our Right to Cancel the Contract
[Article 7] Our hotel may cancel the accommodation contract in the following cases.
(1) When the Guest is deemed liable to conduct himself/herself in a manner that will violate the laws and regulations, public order or good morals in regard to his/her accommodation, or when he/she is deemed to have conducted himself/herself in such a manner.
(2) When the Guest is deemed to be under the following category (a) to (c):
(a) Organized crime group, an organized crime group member, an associate member of an organized crime group, or a person related to an organized crime group or other antisocial forces
(b) When a corporation or other organization whose business activities are controlled by an organized crime group or an organized crime member
(c) A corporation in which any of its directors is a member of an organized crime group.
(3) When the Guest behaves in a manner that causes significant nuisance to other Guests.
(4) When the guest is a patient of a specific infectious disease.
(5) When the Guest is subjected to violent demands or is asked to assume an unreasonable burden in relation to his/her accommodation.
(6) When the guest has repeatedly made requests to the hotel that are deemed to be excessively burdensome and likely to significantly impede the provision of accommodation services to other guests, as specified in Article 5-6 of the Inns and Hotels Act Enforcement Regulations.
(7) When the Hotel is unable to provide accommodation due to a natural disaster or other force majeure.
(8) When the case falls under Article 16 of the Hiroshima Prefectural Hotel and Inn Business Act Enforcement Ordinance.
(9) When the Guest smokes in bed, tampers with fire-fighting equipment, or violates any other prohibited items set forth in the Usage Regulations stipulated by the Hotel.
2. When our hotel cancels the accommodation contract in accordance with the provisions of the preceding paragraph, we will not charge the guest for any accommodation services etc. that he/she has not yet received.
Accommodation Registration
[Article 8] Guests will be required to register the following particulars at the hotel front desk on the day of their stay:
(1) Name, address and contact details of the Guest;
(2) If you are a foreign national not residing in Japan, a copy of your passport.
(3) Any other matters deemed necessary by the Embassy.
2. If the Guest intends to pay the charges prescribed in Article 12 by any means other than currency, such as traveller's cheques, accommodation coupons or credit card, these shall be presented in advance at the time of registration prescribed in the preceding paragraph.
Room Occupancy Time
[Article 9] Guests may use the guest rooms of our hotel from 1:00 PM to 10:00 AM the following morning. However, in the case of consecutive stays, guests may use the rooms all day, except on the days of arrival and departure.
2. Notwithstanding the provisions of the preceding paragraph, the hotel may accommodate guests using the rooms outside the hours specified in the same paragraph. In such cases, the following additional fees will be charged.
(1) For up to two hours, half the room rate
(2) For up to 5 hours, the full room charge will be charged.
Observance of the Rules of Use
[Article 10] Guests must abide by the rules and regulations established by the hotel and posted within the hotel.
Business Hours
[Article 11] The opening hours of the main facilities of the hotel shall be as follows. Detailed opening hours of other facilities shall be provided in pamphlets provided, on notices posted in various locations, in the service directories in the guest rooms, etc.

(3) Public bath: 17:00-23:00
2. The hours stated in the preceding paragraph may be subject to temporary change due to unavoidable circumstances. In such cases, we will notify you by appropriate means.
Payment of Fees
[Article 12] The breakdown of the accommodation fees, etc. to be paid by the guest shall be as set forth in Attached Table 1.
2. Payment of the accommodation fees, etc. as stated in the preceding paragraph shall be made at the front desk at the time of the guest's departure or upon request by our hotel in currency or by any other means acceptable to our hotel, such as traveller's cheques, accommodation vouchers, or credit card.
3. Accommodation fees will be charged even if the Guest voluntarily does not utilize the guest room after the Hotel has provided it to the Guest and made it available for use.
Responsibilities of the Museum
[Article 13] If our hotel causes damage to a guest in the fulfillment or non-fulfillment of the accommodation contract and related agreements, we will compensate for the damage. However, this shall not apply when the damage is due to reasons not attributable to our hotel.
2. Our hotel is covered by hotel liability insurance to cover the unlikely event of a fire or other incident.
Handling When Contracted Rooms Cannot be Provided
[Article 14] When our hotel is unable to provide a guest with a contracted room, we will, with the guest's consent, arrange accommodation of the same standards elsewhere where possible.
2. Notwithstanding the provisions of the preceding paragraph, if the hotel is unable to arrange other accommodations for the guest, the hotel shall pay the guest a compensation fee equivalent to the breach of contract charge, which shall be applied to the amount of damages. However, if the hotel is unable to provide a room due to reasons beyond the hotel's control, the hotel shall not pay the compensation fee.
Handling of Deposited Items
[Article 15] In the event that damage such as loss or breakage occurs to goods, cash or valuables deposited at the front desk by a guest, our hotel will compensate for such damage, except in cases where this is due to force majeure. However, in the case of cash and valuables, if our hotel requests a declaration of their type and value and the guest fails to do so, our hotel will compensate for such damage up to a maximum of 150,000 yen.
2. When loss, breakage or other damage occurs due to the intention or negligence of the hotel to any goods, cash or valuables brought into the hotel by the guest but not deposited at the front desk, the hotel shall compensate for such damage. However, for any items for which the guest has not reported the type and value in advance, the hotel shall compensate for such damage up to a maximum of 150,000 yen, except in cases where the loss is due to the intention or gross negligence of the hotel.
Storage of Guest's Baggage and Belongings
[Article 16] If the baggage of a guest is delivered to our hotel prior to his/her stay, our hotel will store it responsibly only if this has been approved in advance of the guest's arrival, and will hand it over to the guest at the front desk when he/she checks in.
2. If a guest's baggage or belongings are found left behind at the hotel after checking out, and the owner is identified, the hotel will contact the owner and ask for instructions. However, if there is no instruction from the owner or the owner is not identified, the hotel will store the item for seven days, including the day it was found, and then deliver it to the nearest police station.
3. The liability of our hotel regarding the custody of the Guest's baggage and belongings in the cases of the preceding two paragraphs shall be in accordance with the provisions of the preceding Article, Paragraph 1 in the case of Paragraph 1, and with the provisions of the same Article, Paragraph 2 in the case of the preceding paragraph.
Parking Responsibility
[Article 17] When a guest uses our hotel's parking lot, regardless of whether the key to the vehicle is deposited with us or not, our hotel is merely lending the space and is not responsible for the management of the vehicle. However, if the hotel causes damage through intentional or negligent acts in the management of the parking lot, we will be liable for compensation.
Liability of the Guest
[Article 18] If the hotel suffers damage due to the guest's intention or negligence, the guest shall compensate the hotel for such damage.

Notes 1. Basic accommodation fees are based on the price list posted at the front desk.
2. Children's rates apply to elementary school students and younger, and 70% of the adult rate will be charged if meals and bedding equivalent to those for adults are provided, 50% if children's meals and bedding are provided, and 30% if bedding only is provided.
There is no charge for infants for whom bedding and meals are not provided. (However, this applies only to children aged 3 and under.)

(Note) 1. The percentage indicates the ratio of the penalty to the basic accommodation fee.
2. If the number of contract days is shortened, a penalty for one day (the first day) will be charged regardless of the number of days shortened.
3. If a contract is terminated for part of a group (15 or more people), no penalty will be charged for the number of people that is 10% (rounded up to the nearest whole number) of the number of guests staying 10 days prior to the stay (or the day of acceptance if the application is accepted after that day).
4. If a guest has made a reservation for accommodation through a travel agency, etc. (including a reservation site), and if at the time of the reservation separate provisions by the travel agency, etc. (including the reservation site) regarding penalty charges (cancellation fees) are stated to apply, the guest shall comply with those provisions.
